A major customer requests an EcoVadis assessment, and the first reaction is usually confusion: Is this mandatory? How much does it cost? And how does it differ from the ten other sustainability questionnaires already sitting in the inbox? This guide answers all three questions – compactly, without consultant prose, with a focus on what actually matters for you as a medium-sized supplier.
What is EcoVadis?
EcoVadis is a private, commercial platform that assesses the sustainability performance of companies using a standardized questionnaire and shares the result as a scorecard with business partners. Important for context: EcoVadis is not a government or legal standard – it is a purchasing tool that large companies use to compare their suppliers and make risks in the supply chain visible.
This has a practical consequence that is often overlooked in many other guides: EcoVadis does not fall under the new EU value chain cap. The cap exclusively limits data requests that serve a major customer's legal reporting obligation – a voluntary, contractual assessment like EcoVadis remains unaffected by this. Your customer is allowed to request it regardless, and in practice they do so increasingly often, especially in purchasing for system catering, retail, and manufacturing. How does an EcoVadis assessment work?
The process is essentially always the same, regardless of industry or size:
Invitation by a customer or self-registration. Usually, a major customer initiates the process by inviting you to the assessment.
Complete the questionnaire. Industry- and size-specific, with supporting documents (policies, certificates, evidence) covering four thematic areas.
Analyst review. An EcoVadis analyst reviews the information and evidence for plausibility – estimated or unverified statements will be noticed here.
Scorecard and medal. You receive a score from 0–100 and, if applicable, an award (Bronze, Silver, Gold, Platinum) that you can share with business partners.
Annual renewal. The score has an expiration date; after that, a re-assessment is required to maintain it.

For most medium-sized suppliers, the Environment section is the most demanding – this is precisely where robust consumption and emission data are needed instead of estimates.
How much does an EcoVadis assessment cost?
According to EcoVadis itself, the costs are not flat-rate, but depend on company size, the chosen subscription model (Basic, Premium, Select, or Corporate), and location. Each subscription model typically includes an annual assessment by analysts, a scorecard with the results, and access to the platform. Although concrete figures circulate among third-party providers (such as low three-digit starting amounts per year for very small businesses), these are not officially confirmed and may be outdated. For a binding figure, there is no way around EcoVadis's official pricing tool – models and terms change, and third-party sources often reflect them with a delay.
More important than the pure subscription fee is usually the internal effort: those who do not have their environmental and consumption data structured lose most of their time not in the form, but in gathering the supporting evidence.
EcoVadis in practice: the industry perspective
Particularly in manufacturing – metal processing, automotive suppliers, mechanical engineering – EcoVadis is no longer a niche topic. OEMs and large purchasing organizations are increasingly using EcoVadis scores as a fixed component of supplier evaluation, often alongside classic quality audits. Those who already have an ISO 9001 audit system in place have good structural prerequisites – but the sustainability data itself (energy, emissions) is often missing in comparable depth.
5 steps to your EcoVadis assessment
Review the questionnaire before you start. Get an overview of all four thematic areas and the specific evidence required before you fill in the first field.
Collect existing policies and certificates. Much of it (ethics, occupational health and safety) already exists in the form of policies, certificates, or company agreements – this is completed faster than many expect.
Structure your environmental data. The most demanding part: energy, water, and emissions data must be traceable and, if possible, not estimated. In practice, this is where the wheat is separated from the chaff.
Address gaps transparently, do not paper over them. Analysts recognize unsupported or inconsistent information – an honest partial status with a clear improvement plan is rated better than a glossed-over complete answer.
Make your score reusable. Once achieved, the same score can be shared with multiple customers – so the groundwork pays off beyond the single occasion.
